As to make the General Membership Meeting of the Architects and guests of UAP Davao Chapter organized, indicated below are the guidelines in every meeting via Zoom.
- The meeting is scheduled at 8:00 PM. Meeting proper will start at 8:30 PM to wait for the Chapter Members to enter and join.
- This virtual GMM is scheduled for 3 hours only, to make this meeting efficient and to be finished within the limited time set, the Chapter President and the Chapter Officers assigned will first proceed with all the standard UAP GMM proceedings and continue to the reading of the agenda of the meeting and on to the reports and updates prepared by respective Officers. Then an open forum will be called by the Chapter President for all the Chapter Members to participate.
- Part of the initial proceedings will be a Roll Call, to acknowledge all members present on the Zoom meeting and the attendance will be recorded. If a participant left the meeting before the Roll Call, He or She will be considered absent. For late participants, please make your presence be known thru the chat feature of the Zoom app and address it to Ms. Line Flores.
- Upon entering the Zoom Meeting, all participants’ audio is by default on mute, except for the Host and the Chapter President. This was set on the app by the Zoom Host, so as not to make the audio feed confusing with so many speaking at the same time. Please remain on mute until all the proper standard proceedings are done and the Chapter President calls for an open forum on the topics or agenda that was just read. If you want to speak, please raise hand by clicking first the icon labeled “Participants” at the bottom center of your PC screen, then at the bottom of the window on the right side of the screen, click the button labeled “Raise Hand”. Your digital hand is now raised, and the host will be notified that you have raised your hand and will acknowledge and give you the opportunity to speak when ready. Click the “Unmute” button before speaking. When done speaking, please click “Lower Hand” and “Mute” buttons.
- If a Chapter Member was not acknowledged or given chance to speak, the Member can use the Zoom chat feature to relay his/her questions, clarifications, and reactions. The Chapter Secretary will take note of those and will call the attention of the concerned Chapter Officer if there is an opportunity as the meeting progresses. All the chats made during the meeting will be recorded along with the audio and video of the entire proceedings which the Chapter Officers can review later.
- Chat feature must only be used to relay messages related or relevant to the agendas discussed on the meeting.
