MINUTES OF THE GENERAL MEMBERSHIP MEETING

I. CALL TO ORDER
The meeting officially started at 6:30 PM with the recognition of August birthday celebrants, followed by an opening prayer led by Ar. Regina Layman. Dinner was served prior to the official preliminaries.
Birthday celebrants for the month of August were honored with a special cake, which was shared and enjoyed by everyone during the dinner.

III. ESTABLISHMENT OF QUORUM
The Chapter Secretary (CS) reported a total of 65 attendees.
With more than 55 members present, the quorum was officially declared by Chapter President (CP) Daem Panizales.

1. Reading of the Previous Meeting Minutes

Activities of the Chapter for the month:

3. Secretary’s Report – Ar. Tesoro
Presentation of proposed Board Resolutions for adoption as Standing Chapter Resolutions. These were thoroughly discussed, with clarifications raised both in-person and online.
a. Board Resolution No. 2025-BR01-250821
Addendum to Standing Resolution on Penalty Charges for Delinquent Members
· Penalty of 75% applied to unpaid previous fiscal year dues only.
· Allocation of penalty: 50% Lot Fund, 50% Current Fiscal Year Fund.
· Resolution approved (Motion by Ar. Hidalgo, seconded by Ar. Quino).
b. Board Resolution No. 2025-BR02-250821
Addendum Clause on RSVP for UAP Davao Events
· ?500 penalty for confirmed RSVPs who fail to attend in-person events.
· Additional ?100/month if unpaid the following month.
· Provisions for revocation before deadline, valid explanations, transparency, and appeal process.
· Resolution approved (Motion by Ar. Ecobiza, seconded by Ar. Quino).
c. Board Resolution No. 2025-BR04-250821
Adoption of Additional Requirements for CPD Seminars
· Only members with a valid Certificate of Good Standing may register.
· Resolution approved (Motion by Ar. Balaga, seconded by Ar. Chavez).
4. Treasurer’s Report – Ar. Erl Luego
Report was approved and accepted (Motion by Ar. Hidalgo, seconded by Ar. Quino).
5. Auditor’s Report – Ar. Riel Flores
Report was approved (Motion by Ar. Chavez, seconded by Ar. Hidalgo and Ar. Quino).
VII. ANNOUNCEMENTS
a. College of Fellows – Presented by Ar. Carlo Fuego
· Nomination deadline: September 15, 2025
· Compliance of documents: December 15, 2025
b. Chapter Induction – Scheduled on September 6, 2025, Park Inn by Radisson, Lanang, Davao City
· Theme: “Damlag: Malambuon na Mag-uswag”
o Damlag means future/hope, symbolizing aspirations toward sustainable, inclusive, and progressive architectural practice as the Chapter approaches its 50th Anniversary in 2026.
· Attire: Modern Mindanaoan with gold accents
c. CPD Points & Certificates – A dedicated tab was added to the portal for member viewing as of August 11, 2025.
V. OTHER MATTERS
· Members were encouraged to share ideas and feedback, and where there was none.

The meeting was officially adjourned at 9:10 PM by Chapter President Ar. Daem Panizales and concluded with a group photo of onsite attendees.
